Got a question about how we work or how to start outsourcing? We have put together a list of frequently asked questions. No question is too silly, too big, too small or even too dumb.

If you have a question that we haven’t answered below, please contact us and we’ll be more than happy to answer all your questions!

Before we start, let me explain a couple of the common phases we tend to use:

VA = Virtual Assistant.

Outsourcing = getting the task completed by someone outside of your business, usually by a contractor

You do, you might just not realise it yet. Think of it this way 10 hours a week is only 2 hours each day. You’ll be amazed at what you can accomplish with an extra 2 hours a day.

Do you have space for an employee in your office? Do you have enough work to keep someone busy each day? Employment is the better option if you want to pay wages, tax, holiday pay, sick days. A virtual assistant is the perfect transition if employment is your ultimate goal.

In some cases it can be cheaper to use an offshore VA. But you are opening yourself up to a number of issues and headaches that can be easily avoided by teaming up with a New Zealand Virtual Assistant Agency.

Your main reason for coming to us is because you are time poor. We get that you don’t have a lot of spare time to train your  new VA. Part of our process is ensuring you have standard operating procedures (SOPs). Or creating these for you if you don’t have any. This way the training is mapped out on paper.

No. You will remain firmly in control and will continue to stay in the drivers seat of your business. We work along side you, supporting and encouraging you as well as doing the work you outsource to us.

To share your files and photos with us, we recommend using an online storage system such as GDrive, Dropbox or OneDrive. You can upload the files from your side and share with us as required.

As part of our handover process, we will walk you through what information we require and the best way to share information. Your privacy is important to us so we only use secure methods. An easy way to share your tasks with us, is using Trello and creating a shared To Do List.

Fair enough. Bringing a Virtual Assistant or Online Business Manager into your business can be scary. You have worked hard to make your business what it is. Because we want you to succeed, we find out what you need then assign the right team member to you. We don’t lock you into a fixed termed contract but recommend you give it a go for at least 3 months before making a decision.

You feel nervous about spending money. Spending money is always difficult for me too but when you get to the point in business where you need extra support, you have only a few options available. Think of it this way:

Our goal is to provide you with the flexibility you require within your business. We understand that sometimes during your quieter months, you may need to reduce your hours or cancel your retainer altogether. We also understand that sometimes outsourcing isn’t the right option for your business and we will work with you to find the best solution moving forward. We do ask for at least 1 month written notice to terminate or reduce hours.

We do our best to respond to enquiries and work requests within 2 hours of receiving them. If you contact us outside of business hours, we do our best to respond within 24-48 hours if non urgent.

We provide clients with a login to our Project Management system which allows you to see how we are tracking. We will also keep in regular contact with you to ensure you know what we have done and when.
